Day by Day Guide - The First 30 Days of Your Pilot

Like a good workout routine, here's a day to day guide of key tasks to launch your Cultivate Forecasts pilot successfully. The first 30 days are critical to get right if you want to keep your users engaged for any period of time. We assume going in to this you've already prepared your site for launch by populating it with questions and making the appropriate configurations in the settings.

Day 1 (1 hour)

  • Send out invitations
  • Spot check with a few people after 1 hour to confirm their receipt of the invitation (to make sure they're not going in to junk mail)
  • Seed discussion threads with a few comments after some forecasts have been made
  • Publish any submitted questions from your users that are suitable or tell them why they're **not** being published

Day 2 (1 hour)

  • Send an announcement by going to the Admin Dashboard> Announcements page to create one. Tell your users how many people have already signed up, how many forecasts have already been made, and one or two observations about the current probabilities. Also ask them to provide any forecasting questions of their own. We suggest adding your contact information to the announcement, so that users who might want clarifications on any of the current questions, or have any feedback to share can contact you.

Day 3 (30 minutes)

  • Make sure there are no comments asking for clarification about any of the questions.
  • Publish any submitted questions from your users that are suitable or tell them why they're **not** being published
  • In the Admin settings, look at the Users section. Contact those who are still showing up under the Invite Users tab with a gentle reminder to complete the registration

Day 4 (15 minutes)

  • Publish any submitted questions from your users that are suitable or tell them why they're not being published

Day 5 (15 minutes)

  • If you have not published any questions since Day 1, publish at least one question today of your own or from your users.
  • Seed the discussion threads with comments/additional information if they are largely inactive.

Day 6 (15 minutes)

  • Review all your own forecasts and make any updates (or submit the same forecast to reinforce your confidence level!)

Day 7 (1 hour)

  • Create your first newsletter or a short post wrapping up the first week of activity. Since activity reports are automatically generated daily or each Sunday (if weekly), stay away from just talking about results and report more on overall activity levels and initial impressions. If possible, get a quote or two from senior members of your organization about the initial results and be open about soliciting for suggested improvements. Encourage people to ask their own questions (if that is allowed).

Day 8 (20 minutes)

  • Take a deep dive into the most popular question on the site, and generate the individual question reports. Explore and familiarize yourself with the data that is available.

Day 9 (15 minutes)

  • Check the conversion rates of registered users vs. invited users. If below the global average, investigate why people are not following through and completing the registration process.

Day 10 (15 minutes)

  • If you have not published any questions since Day 5, publish at least one question today of your own or from your users.

Day 12 (30 minutes)

  • Explore the site-wide reports (go to Reports in the dropdown next to your advatar). Specifically, take a look at the Participation Report and All Forecasts Report.

Day 13

  • Break

Day 14 (1 hour)

  • Write a private email to the top 10 most active people (found on the stats page) and ask them about their impressions of the marketplace so far. What do they like/dislike? What could you be doing to make it better? Thank them for their participation thus far.
  • Write a status email about the site and send it to your peers/superiors - people who are not necessarily participating in the marketplace. Talk about level of participation and early results. Provide an opinion if possible about the results and discuss how the results could be used to improve xyz process.
  • Make note of the types of questions that are the most popular. Are they related to a particular topic? Are they just fun questions vs. useful questions?

Day 15 (15 minutes)

  • If you have not published any questions since Day 10, publish at least one question today of your own or from your users.

Day 16

  • Break

Day 17 (15 minutes)

  • Publish any submitted questions from your users that are suitable or tell them why they're **not** being published

Day 18 (15 minutes)

  • Publish any submitted questions from your users that are suitable or tell them why they're **not** being published

Day 19

Day 20 (15 minutes)

  • If you have not published any questions since Day 15, publish at least one question today of your own or from your users.

Day 21 (1 hour)

  • Your second newsletter or blog post. Interview one of the more active participants and publish the results. Do not reveal their identity. Ask what their trading strategy is. Ask what part of the organization they're from. Find out if they trade regularly or this is the first time. In addition to the interview, continue to encourage people to ask questions. If the data from the marketplace has been used in any way, highlight it, or if questions have already been cashed out, highlight the results.
